Ravi, Customer care

Job: Customers · Works on: Your customers, by WhatsApp and email (a person sends)

Looks after your existing customers: reminds them when a reorder is due, renews rate contracts in time, greets them on festivals, asks for reviews, and keeps giving your team calls to make.

What Ravi does from day one

  • Read your past sales

From a CSV or a Tally export with date, company, product, quantity and value, under Companies

  • Remind customers when a reorder is due

From each customer’s buying cycle (the usual days between orders), from 7 days before the next order is due

  • Renew rate contracts in time

A renewal meeting for the customer’s owner when the contract ends within 30 days

  • Spot customers going quiet

A call for the customer’s owner when there is no order in twice the usual gap, or in 90 days

  • Festival greetings

Diwali, Eid, Christmas and New Year by the customer’s country, drafted 3 days before

  • Ask for reviews and referrals

10 days after an order or a won lead, at most once a quarter

Coming soon

  • Cross-sell and upsell from your catalogue

    What similar customers also buy

  • Quarterly account summary

Each customer’s orders, contracts and open points, for the owner

  • Order updates to customers

Confirmations, dispatch dates and delivery updates

The rules Ravi works by

  • Never sends anything by itself: every message to a customer is a draft that a person approves and sends.

  • Calls, check-ins and renewal meetings go to the customer’s owner as tasks, each with the reason.

  • Takes facts about your business only from your approved knowledge: never invents products, delivery times or terms.

  • Mentions no prices, rates or discounts unless they are in your approved knowledge; a draft with a price your knowledge does not hold is dropped.

  • Makes no promises: a draft with “guaranteed”, “best price” or the like is dropped.

  • Never puts anything internal into a message: order values, how often a customer orders, or that they look at risk.

  • Never asks a customer for OTPs, passwords, Aadhaar, PAN or bank details.

  • Raises the same thing once: one reminder for each expected order, one greeting for each festival, one review request a quarter.
